The Australian Health Practitioner Regulation Agency (Ahpra) works in partnership with 15 National Boards to implement the national regulatory scheme for health professionals. The purpose of health practitioner regulation is to protect the public by ensuring that only health practitioners who have the skills, qualifications and knowledge to provide safe care are registered.

The purpose of this role is to provide a high standard of administrative support services to our Boards and Committees. You will record and manage legal decisions and actions from Board or Committee meetings including attending meetings and taking accurate minutes, processing and distributing outcomes to relevant parties, dealing with sensitive issues in a complex environment.

In this role you will:

  • Support Boards, Committees, Chairs and Ahpra staff in relation to compliance, governance, risk and procedural issues to ensure valid and consistent decision-making in accordance with terms of reference, the Health Practitioner National Law, policies and guidelines.
  • Coordinate the preparations for meetings, teleconferences and video conferences, including room bookings and set up prior to meeting, catering, provision of materials or information for the meeting, attending meetings and tidying up after the event
  • Prepare and process agendas and meeting papers for board or committee meetings and distribute electronically, in accordance with agreed service delivery standards and time frames and in the correct format
  • Maintain electronic filing systems so that documents are stored appropriately in accordance with Ahpra records management policies and are able to be easily retrieved for future reference and audit purposes.
  • Effectively manage all relevant committee or board communications to internal and external stakeholders. Consult and liaise with program directors, managers, staff and board and committee members in relation to agenda items and papers.
  • Perform other administrative tasks as required, such as goods receipting, financial reimbursements

As the ideal candidate, you will demonstrate the following:

  • Over 5 years’ experience in administrative support i.e. supporting boards and committees
  • Accurate minute taking, excellent formatting skills, editing and proof-reading
  • Highly proficient with a range of Information Systems – Microsoft Offices Suite, Adobe Pro, Content Manager/TRIM Sharepoint/Diligent Boards and various video/web conferencing
  • Excellent time management skills with the ability to prioritise and complete a broad range of activities
  • Outstanding coordinating, organising and communication skills – both written and verbal with the ability to consult and liaise with program directors, managers, national staff, and boards with confidence.
  • High attention to detail and accuracy
  • A willingness to work in a close team that adheres to the values of Ahpra
