Our client is the main provider of health and specialist services within Melbourne across a number of campuses.

An immediate opportunity exists within the Executive team for an EA assisting the Chief Operating Officer and Deputy where no two days will the same in this fast paced environment.

The Role

To provide high-level administrative and secretarial support ensuring the office operates effectively and efficiently and work processes and practices are carried out in a professional and co-ordinated manner.

Duties -

  • Manage diairies for the COO, DCOO and team, arrange meetings/events and liaise with external stakeholders 
  • Production of papers and presentations, co-ordination of documentation for meetings and events, take minutes 
  • Co-ordinate meetings, functions and events and organise venues, equipment, catering etc.
  • Provide support to committees, including preparation of papers for the Board and follow-up action items
  • Assist with further ad hoc projects and research

Skills and Experience

You have previous experience working as an EA in a fast paced environment, have a proactive approach, the ability to hit the ground running, are tech savvy with advanced MS Office skills. Previous diary management and meeting scheduling, together with your effective interpersonal and organisation skills are essential.
