JOB DESCRIPTION

Media and Corporate Communication Directorate provides an effective and efficient media, public relations, communications and marketing service for the WA Police Force. The Directorate ensures the provision of timely and accurate information to the public through the media and to enhance public confidence by presenting a professional and credible image to the public. The Directorate supports operational strategies and enhances the relationship between police and the media and developed public relations activities which enhance the organisation’s credibility and relationship with the community it serves.

POSITION PROFILE

We are currently seeking a skilled and experienced person for the role of Executive Assistant. The position provides administrative support at an executive level to the Director of Corporate Media and Communications. This role receives and responds to confidential secretarial and executive information and liaises with staff of the Directorate and with a range of other staff and stakeholders within and external to WA Police Force.

This position is offered as a 4 month contract/secondment opportunity with the possibility of extension/permanency. This position is temporarily vacant whilst the substantive occupant is engaged in other duties.

SPECIALIST PRE-REQUISITE

It is a requirement that the position holder is successful in obtaining and maintaining a NEGATIVE VETTING LEVEL 1 security clearance for the duration of their appointment in the position. Only Australian Citizens are eligible to hold and maintain the NEGATIVE VETTING LEVEL 1 security clearance. Any applicants who are currently not an Australian Citizen must be aware that this is an essential requirement to fulfil this position (please refer to the attached position description). Whilst there is nothing to preclude applicants from applying for the position if they have not yet been granted Australian Citizenship, applicants who are successful should be aware that they cannot be appointed unless they are in the process of applying for Australian Citizenship and are eligible to receive a waiver.

APPLICATION PROCESS

Please ensure you complete, sign and scan the Integrity Check Consent Form (refer attached) and submit it along with your application (the integrity check consent form is not required for current WA Police Force employees).

Applicants are asked to address the following nominated work related requirements in no more than three (3) pages:

  1. Communication skills - Preparing reports, correspondence, minutes and briefing notes. Taking notes, ability including taking minutes at meetings and transcribing. Liaising effectively with a diverse range of internal/external customers. Eliciting and providing sensitive information to customers. Utilising computers effectively in an administrative setting. Utilising word processing and creating databases.

  2. Organisational skills - Managing own workload effectively, planning and prioritising work. Demonstrating self-motivation and initiative to achieve work objective with minimum supervision Anticipating the needs of Executive staff.

  3. Secretarial and administrative support - Preparing agendas, taking and distributing minutes at an Executive level. Monitoring and managing an office environment. Interacting with customers ensuring response times are effective and efficient. Dealing with matters of a sensitive and highly confidential nature organisational sensitivity.

Applicants are also required to submit a Comprehensive Curriculum Vitae (CV). Your CV should provide enough detail (dot points are sufficient) to allow the selection panel to assess your skills and experience and qualifications relevant to the Key Accountabilities of the attached Position Description Form.

The CV must also include the names and contact details of two (2) referees who can comment on the applicant’s ability to satisfy all of the Essential Work Related Requirements. Applicants should nominate at least one immediate (most contemporary) supervisor/manager unless exceptional circumstances exist.

Please note: For applicants deemed suitable, all Essential Work Related Requirements listed in the Position Description Form will be assessed at some stage during the selection process.

OTHER CONDITIONS

Whilst this selection process will initially be used to fill the above vacancy, it may also be used to fill other similar vacancies throughout the metropolitan area. In addition to this, should the successful applicant decline or vacate the advertised position, then the panel may select another suitable applicant from this selection process. Both of these options remain valid for a period of twelve (12) months from the initial date of the appointment.

Integrity and criminal checks will be conducted if the recommended applicant for this position is not a current WA Police Force employee. Any relocation costs associated with appointment to this position may be the responsibility of the successful applicant.
