Our client is an obliging and extremely caring specialist physician seeking a like-minded secretary to work closely on a day to day basis essentially running the office.

The key to your success in the role would be that you are a highly organised, keen and enthusiastic person who shows initiative and empathy.

The position is offered on a permanent part time basis, approx. 25 to 30 hours per week between the hours of 10.00am to 6.00pm. Our client is happy to negotiate working hours! Yes, you read that right! If you require flexibility with school drop offs or other morning commitments, our client is happy to consider a 9.30am start! Could this get any better? Well it does! Onsite parking provided, so no need to drive around in circles, PLUS opportunity for hours to be worked from home! (Call DSA to discuss further).

The principal responsibilities of the role include:

  • Book, confirm and schedule appointments & send reminders
  • Attend to phone, fax & email
  • Arranging hospital admissions & investigations
  • Medical transcription with reasonable speed and high level of accuracy (Long and complex letters)
  • Process incoming and outgoing correspondence by fax and email and encrypted email (Argus)
  • Collate relevant items for filing, and ensure files are well maintained and organised
  • Order stationary, and medical supplies
  • Invoice and receipt for in-person and telehealth appointments, and electronic billing and receipting of in-patient services using Eclipse
  • Reconciliation of invoices and payments for banking

Essential Criteria:

  • Caring and compassionate nature
  • Competent audio typing and computer skills
  • Good computer skills and ability to master and incorporate use of new software - familiarity with Clinic to Cloud, Genie and/or other practice software.
  • Previous/current experience in medical specialist rooms
