We are seeking an individual who is looking to have a long term career as a Personal Assistant with the desire to deliver the best support every day to the team.
This hands-on role would suit an administration professional; if you are studying law or are a law graduate this position may not be the one for you.
As a Personal Assistant to a Partner, Senior Associate, Associate and Lawyer you will be required to provide high quality and experienced assistance including, but not limited to:
- Comprehensive diary management; organising and coordinating meetings
- Document and correspondence drafting at a high level (court documents, property documents, letters, emails etc.)
- Liaising with clients/barristers/experts/brokers/stakeholders via phone, letter, email or in person
- You will be expected to know exactly where a file is at
- Marketing management and assistance support with the fee earners’ business development activity
- End of month billing
- Preparing briefs to counsel
- Drafting engagement letters
- Data entry, timesheet entry and occasional copy typing
- Conflict checks and due diligence processes
- Booking travel and accommodation
- Accurately review, proofread and edit documents prepared by the fee earners
- Assistance answering incoming enquiries or transferring calls
- Arrange the opening/closing of files
- Project management and other ad hoc duties for the firm
Here is what is needed from you:
- Exceptional organisational skills
- Smart corporate presentation
- Approachable, confidential and personable demeanour and telephone manner
- Project minded: ability to follow all stages thoroughly
- Sound keyboard skills at least 60wpm
- Good knowledge of Microsoft Word and other Microsoft programmes, Adobe professional and Outlook
- A great team player and good sense of humour
- Have initiative and ability to follow instructions closely
- The ability to work with other legal assistants and team members autonomously
- Ability to anticipate the fee earners’ requirements
- Above average secretarial skills
- A can-do attitude
- Experience using the case management system Practice Evolve will be highly regarded
Prior experience as a Personal or Executive Assistant in a law firm is preferred, but exceptions will be made for stand-out candidates.
