Job Description

The Workforce and Recruitment Coordinator's role is to ensure our contact centres across multiple sites balance the correct staffing levels based on real-time and forecasted demands.

Part of your role is to help retain that best talent by ensuring our employees have a great working environment, and employee engagement is always a focus.

You will provide regular reporting to improve business operations, including how to optimise work schedules, identify critical changes required based on actual performance and pinpoint factors impacting the schedule's success.

You will…

  • Provide all centres with schedules 4 weeks in advance, keeping all in line with forecast and ensuring that all staff are notified of changes.
  • Balance staff levels based on the inbound volume - work with your counterpart in Manila to initiate overtime.
  • Collect data and intra-day monitoring to feedback to the Customer Care Manager's (CCM) negative impacts on the day's operations.
  • Keep up to date with the demand planning for the 3 centres plan for onboarding and new recruits tenured KPI performance.
  • Working with CCM’s on strategic plans to maintain SL’s - highlight gaps in schedules, future offline activity.
  • Provide your insights into what is achievable from a scheduling perspective, especially during crisis planning, be ready to support the Head & Director of Customer Care in rapid changes required in schedules, return to WFH or office plans.
  • Plan and organise the whole recruitment and interview process
  • Identify new procedures and resources required to recruit new staff efficiently
  • Make sure we have a smooth onboarding process both in terms of account creation as well as organisation.
  • Ensure all new starters have the system access required ready for their first shift.
  • Create and coordinate engagement strategies that are aligned with the focus areas found in employee happiness surveys and general feedback.
  • Ensure the Sydney office is organised for events and key dates are celebrated
  • The office must be maintained with a clean, organised environment; it is part of your role to ensure employees adopt this way of working.
  • Be actively involved in the induction of new employees, making them feel welcomed.

You have/are…
  • Experience managing contact centre schedules
  • Data-driven
  • Positivity and enthusiasm
  • Experience working with multiple stakeholders.
  • Strong organisation and administrative skills
  • Experience in recruitment preferable
  • Knowledge of Australian Fair Work / Philippine scheduling procedures preferable
  • Effectiveness in prioritising, managing a busy workload and remaining calm under pressure
  • Fast, accurate data entry
  • Excellent verbal and written communication
  • Can do attitude
