We have a fantastic opportunity for a Legal Secretary to support our dynamic Melbourne office. With a successful practice already established and still growing, you must be hungry to assist our team in cultivating quality client relationships. We prioritise team success, and an attitude that we should all lift up those we work with – your success in this role will be reliant on your ability to engage with your colleagues and help grow our team’s practice.

What does a standard week look like?

  • Answering calls and liaising with clients
  • Preparing, editing and finalising correspondence
  • Drafting and preparation of court documents including preparing list of documents and lodgement of court documentation
  • Preparing first drafts of affidavits and advice using precedents
  • Coordinating subpoenaed documents
  • Arranging medical and expert appointments and drafting letters of instructions
  • Drafting and submitting relevant Medicare / Centrelink forms
  • Opening and closing files
  • Assisting with monthly billing including management of client bill requirements for fee-earners, communication of upcoming thresholds and timeliness requirements
  • Assisting with client reporting
  • Coordinating and auditing e-filing
  • Arranging interstate travel
  • Assisting with the organisation of marketing events including lunches, meetings and seminars
  • Assisting with office accounts – including reconciling of bank statements (including cheques)
  • Booking CPD seminars and maintaining records for fee-earners
  • Other general admin duties

To be successful in this role, you will have at least 3 years of experience in a legal administrative position, preferably supporting an insurance team. You’ll have strong MS Office proficiency, impeccable organisation and self-management, and at least 60 wpm accurate typing skills. You’ll also definitely need a sense of humour and a willingness to laugh at bad jokes which are thrown around with reckless abandon. Or at least pretend to.
