The Project

We are seeking to appoint an experienced Document Controller to join the project team on Sydney Metro City & Southwest Pitt Street Station which will provide a 250-metre-long underground Pitt Street Station running from Park Street to Bathurst St, between Pitt and Castlereagh Streets, connecting the two station entries with retail and other commercial facilities.

The role is to ensure that effective document and data control occurs according to CPB Contractors and statutory requirements by delivering accurate, timely and responsive general administrative services, including general clerical duties as directed.

The duties include but are not limited to:

  • Maintain and administer the selected Document Control System
  • Develop, train and support other staff in the use of the Document Control application - Aconex
  • Liaise with stakeholders to identify business processes and develop appropriate documentation
  • Ensure that document control protocols are in accordance with the tender and project documents and procedures
  • Track documents as required (e.g. documents under review, transmittals and submissions)
  • Manage control of all revision of drawings, documents, specification and Correspondence.
  • Prepare packages for tender
  • Update revisions for Subcontractors and Consultants etc
  • Assist with additional quality management and project administration support as required
  • Preparing regular project reports for Project staff with current registers
  • Recording, Auditing and tracking all incoming and outgoing project documents
  • Updating document/drawing registers and obtaining relevant approval for issue to projects (internal and external)
  • Collecting, collating, filing and archiving of management system records and project documents
  • Maintaining relevant registers and libraries

To be successful you will have:

  • 3-5 years’ experience as a Document Controller
  • Experience using Aconex
  • High degree of computer literacy
  • Good written and verbal communication skills
  • Good planning and resourcing skills
  • The ability to prioritise and work effectively in a busy working environment
  • The ability to develop and maintain good working relationships internally and externally
  • A flexible attitude towards work in order to meet deadlines and deal with a variable and demanding workload
