Our client is a full-service strategic communications firm who provide advice and execution in highly sensitive environments.

An exciting opportunity exists to join this dynamic business for a capable and competent Executive Assistant.

Central to your role will be the ability to support the Director on a day to day basis in addition to supporting the wider team of eight who work on a diverse range of projects.

The ideal person for the job will come from a corporate background and be a proactive problem solver with exceptional communication skills and a meticulous attention to detail. You will have previous experience working in an office environment, performing administrative duties, providing support and preferably has some experience writing tenders and business proposals.

Given the changing nature of the executive landscape, you will be flexible and thrive working in an ever-changing environment, while maintaining confidences related to high-level information, systems and operations.

About the Role:
With a primary responsibility of supporting the Director and you will provide support to the team as directed to ensure that company goals and objectives are accomplished, and operations run efficiently.

Primarily you will assume all those responsibilities of an Executive Assistant including:

Providing daily proactive support to the Director; anticipating needs and solving problems
Manage professional and personal scheduling for Director, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics
Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to team
Providing support to the small but growing team, working on a diverse range of social impact projects at the nexus of policy, politics and public affairs
Assisting with the preparation of writing tenders and business proposals
Building effective working relationships with stakeholders
Prioritize daily workload
Preparing attending meetings and recording minute
Assistance with composing letters and other communications
Handling activities and communications with a high degree of professionalism, accuracy and confidentiality.
Conducting research on behalf of the Director and ad hoc duties as required

This is a varied role that will suit individuals who enjoy new challenges. You will be dealing with senior clients and as such are required to have the ability to apply your business acumen. To succeed in this position, you will need to have proven success supporting senior management and be able to commit to working in a fast paced, changing environment.

About You:
5-7 years' experience in administrative role reporting directly to upper management
High level interpersonal and communication skills and the ability to communicate to various high-level stakeholders
Superb written and verbal communication skills
Experience preparing tenders and business proposals
The ability to build a high level of trust through maintaining confidentiality
Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems
Strong relationship building skills across all levels of the organisation
You are a proactive self-starter who can work with minimum supervision
Ability to proactively resolve issues before they evolve into problems
Able to work autonomously or in a team
A can-do positive and proactive approach
Able to multitask on projects
