We are looking for a Part Time Practice Manager for our Veterinary Clinic in North West Tasmania. This position is for 3 working days per week - there is flexibility as to which 3 days, however the working hours required will be from 8.45am to 5.30pm.
You will have previous experience leading a team along with exceptional communication skills and ready to drive our business forward using well-developed business, customer service and operational skills. The Practice Manager is responsible for organizing and co-ordinating practice operations and procedures in order to ensure practice effectiveness and efficiency while maintaining the high level of service delivered to the practice clients and patients.

The primary responsibilities of this position include

  •  Manage and maintain practice efficiency
    - Manage the day-to-day operations of the veterinary practice under broad guidance and/or direction from the Owner.
    - Develop and implement dependable policies, establish quality standards and procedures for all practice operations, including patient care
    - Implement practice systems, layout and equipment procurement
    - Maintain and monitor stock control activities and communicate with suppliers
    - Maintain and replenish stock levels and anticipate needed supplies and verify receipt of supply
    - Strategic and business planning including measuring the outcomes of business plans/strategies designed to improve the practices financial, social or marketing outcomes
    - Ensure all cleaning is adhered to and completed to a high standard. 
    - Design and delivery of advertising, new clients or pet programs
  • Financial and IT management 
    - General practice bookkeeping and understanding of profit and loss statements
    - Oversee payroll administration, processes and procedures
    - Financial planning and performance 
    - Prepare financial reports to higher management
    - Develop and monitor budgeting process generally linked to staff remuneration reviews
    - Banking and reconciliation 
    - Follow up debtors to ensure accounts are settled on time
    - Equipment and asset management
    - Perform ongoing maintenance and updates of IT system within specified timeframes
    - Address all issues with the computer system as they occur to ensure system continues to function with minimal disruption
  • HR Management
    - Manage the practice team and monitor quality of work produced
    - Implement HR policies and procedures which support the practice needs, including Recruitment and induction, Staff contracts and job descriptions, performance appraisals, management and salary reviews
    - Understand relevant award obligations covering practice staff and legislative compliance obligations
    - Manage clinic rostering systems, particularly for requirements around staff absences 
    - Facilitate and coordinate the professional training and development of support staff and veterinarians, including your own
    - Reporting to management as required
  •  Client management
    - Design and delivery of communication between the practice and its clients, or prospective clients
    - Oversee or implement processes relating to patient bookings and client management
    - Manage client accounts
  • Clinical supervision
    - Supervise veterinary support staff to ensure they are correctly performing their clinical duties.
    - Assist as needed in veterinary nursing duties
  • Maintain records and filing systems
    - Define procedure for record retention.
    - Ensure protection and security of files and records
    - Ensure effective data transfer to files and records 
    - Recording of accurate minutes of meetings and distributed in a timely manner 

The ideal candidate will have the following qualities and expertise:

  • Experience in a management capacity including rostering, payroll, staff management, dealing with clients and suppliers;
  • Sound IT skills and day to day running of the business;
  • Experience in the veterinary industry or in a management compacity of 10+ years;
  • Business degree would be desirable;
  • Proven experience in team management, with strong leadership and team building skills, and the ability to provide coaching for team members and to build a positive culture in your team;
  • Strong communication and customer service skills;
  • Good business acumen;
  • Exceptional organisation skills.
