Office Manager- FFI Office

Work Location: Perth

Roster: Monday - Friday

Reporting to the People Operations Strategy Manager, you will be responsible for managing a team of professionals who operate the office facilities to ensure all customers are attended to with the highest service.

You will be responsible for overseeing the daily operations to ensure the facility runs efficiently, safely and provides a service that is customer focused to our people. You will influence your team to provide exceptional verbal and written communication skills to all customers and create an environment that portrays the Fortescue values. You will be responsible for streamlining administrative procedures including people forecasting for desk management, maintaining an operational budget including capital works and managing relationships with key stakeholders including our Landlord.

You will be a leader who can empower staff at all levels to take charge and drive customer outcomes across Fortescue. You will be a people person who can build and maintain strong teams with a ‘Can Do, Will Do’ attitude ensuring our employees feel valued, recognised and engaged. You will have prior experience in a complex and dynamic operational environment with competing priorities.

Key accountabilities will include:

  • Manage, lead and influence the team who operate the office facilities to ensure they provide a strong customer service to our people
  • Manage leasing forecast to ensure facilities meet people forecast and mirrors Fortescue's standards
  • Manage the office guidelines to ensure our facilities are maintained to a professional standard
  • Implement administrative procedures including service level agreements to assist with efficiency and customer service. 
  • Develop and Coach Office Employees to help provide further growth opportunities
  • Suggest and implement innovative ideas to improve the level of service and highlighting Fortescue as the employee of choice
  • Build and maintain strong relationships with key stakeholders including our Employees and Executive Team, Landlord and Service Providers
  • Implement a forecasting tool to assist with desk management and provide detailed reports on occupancy
  • Manage the department operation budget and suggest capital expenditure to improve service levels and costs
  • Maximise performance and culture across the team to provide a thriving environment

Qualifications and skills required:

  • Background in similar role as a leader with office management experience 
  • Demonstrated experience in delivering high level of service to multi facet customers 
  • Demonstrated interpersonal skills, including both written and verbal communication skills
  • Having the demonstrated ability, to liaise and interact with individuals and groups of varying levels of authority
  • High levels of organization skills and an ability to meet deadlines whilst managing multiple function simultaneously 
  • Proven office management, administrative or assistant experience
  • Knowledge of office management responsibilities, systems and procedures
  • Excellent time management skills and ability to multi-task and prioritise work
  • Proficient in MS Office
