About you
This is an exciting opportunity for an experienced, self-driven Executive Assistant to join our dynamic and high performing organisation.
Reporting to the Chief Operating Officer, you will be responsible for the delivery of timely, efficient and effective administration, executive support, information coordination and confidential secretarial support. The role will also consist of involvement in special projects and other organisational initiatives as required.
Other responsibilities include but are not limited to:
- Acting as the first point of contact to the COO with internal and external stakeholders
- Conduct research and collect and analyse data to produce correspondence, memos, presentations and reports of both a general and confidential nature on behalf of the COO
- Provide timely, effective diary management by prioritising and organising meetings with internal and external stakeholders in consultation with the COO
In addition to the above, you will have the ability to build and develop relationships with the COO and members of the leadership team. You will also have the opportunity to strategically shape the role to create processes that work for you and the COO.
Requirements to be successful
Essential
- Relevant qualifications and minimum of 5 years’ experience in providing executive support and assistance at a senior level
- Demonstrated experience in organising workshops and meetings, including preparation and distribution of papers
- Experience in providing a broad range of administrative and related clerical services
- Strong business acumen
- Flexibility to meet sometimes rapidly changing priorities and variable working duties and hours.
- Strong communication skills and ability to compose and present correspondence of a non-specialist nature
- Advanced skills in office computing applications including word processing, spreadsheets, databases management, presentation software such as PowerPoint or similar, and email
- Exceptional organisational and time management skills, the capacity to successfully manage competing priorities, maintain attention to detail and meet deadlines
- Capacity to work independently and collaboratively in a geographically dispersed team environment
- Outstanding interpersonal and oral communication skills, including demonstrated ability to develop productive relationships with staff at all levels and with external stakeholders
- Demonstrated capacity to maintain high levels of discretion and exercise of sound judgement with regards to confidential matter
Desirable
- Tertiary qualifications in business or related discipline
- Knowledge of the not for profit sector and/or Environmental sector
- Experience Microsoft Dynamics NAV or other Enterprise Resource Planning
- Demonstrated knowledge of and experience in managing regulatory compliance.
- Demonstrated knowledge and understanding of corporate governance and the ability to incorporate and encourage its application in practice.
