The role

Our client, a leader in chemical storage is looking for a Dispatch and P2P Coordinator based in West Melbourne.

Responsibilities include:

  • Supervise the receipt, dispatch and storage of client product in accordance with quality procedures and principles whilst maintaining a high level of customer service.
  • Provide efficient Procure to Pay (P2P) support to multiple sites to ensure compliance in accordance with documented standards, policies, and procedures.
  • Accountable for raising purchase orders, goods receipting and facilitating payment of invoices for goods and services purchase by the sites.
  • Liaise with Dispatch Manager and the Site Operations Manager on all operational priorities, customer requirements and new product storage.
  • In conjunction with the various transport companies and customers, plan / organise and schedule trucking slots in accordance with the Terminal capabilities, maximising customer satisfaction by decreasing demurrage claims.
  • Manage all weighbridge operations ensuring all vehicles are weighed appropriately for internal customers and ad hoc external weighbridge operations.
  • Reconcile all weighbridge weights against inventory system and stocksheets daily.
  • Ensure all stock levels are maintained accurately within the site inventory program and customer information sent in a timely manner.
  • Maintain and manage all Dispatch documentation including customer SDS, internal check forms and tank calibration charts.
  • Ensure all dispatch operations are carried out according to documented procedures.
  • Proactively communicate with internal business unit stakeholders and external suppliers to ensure all P2P (purchasing and accounts payable) needs are met.
  • Prepare, raise, coordinate goods receipting, and control purchase orders in Navision for operational requirements at sites.
  • Liaise with suppliers regarding status of outstanding orders and invoices and assist finance, where required, to facilitate on time payment of suppliers.
  • Assist Site Management to manage actuals to budget and forecast for Opex when needed.
  • Assist in performing Budget to actual variance analysis as required.
  • Assist in the management of site inventory - work with operations team and assist with ordering of stock if needed.
  • Support managing business compliance to the procurement standard and finance policy and related procedures and processes.
  • Liaise with Procurement Manager to ensure contractual arrangements are utilised and leveraged through the Navision system.
  • Be proactive with the maintenance of site safety and be an advocate of correct PPE, observing site safety standards and managing driver inductions. Be vigilant in promoting good behaviour.
  • Prepare ad hoc customer stock reports as needed.
  • Assist Dispatch Manager with all internal audits.
  • Specifically report all incidents and contribute to investigation and follow up actions.

To be successful in the role, you must satisfy the following criteria:

  • Good numeracy skills with a high level of accuracy
  • Proficient computer and data entry skills
  • Good communicative and interpersonal skills
  • Familiarity with the Dangerous Goods Act and applicable regulations
  • Sound understanding of hazardous chemicals handling
