ABOUT THE SCHOOL

The School of Nursing and Midwifery offers undergraduate Bachelor of Nursing programs that are highly regarded by the profession and a range of postgraduate coursework and nursing research programs. The School benefits from strong relationship with industry with some post graduate programs offered as industry partnerships. Graduates from the School of Nursing are well respected by the profession.

The School also offers several postgraduate nursing programs to assist health professionals to develop their capabilities as educators and leaders.

POSITION PURPOSE

The School of Nursing and Midwifery is seeking a dynamic and experienced Administrative Officer to manage a broad range of student activities within a large School with over 1000 enrolments. The successful applicant will be responsible for all matters pertaining to student administration, including enrolments and the preparation and formatting of course delivery materials.

The Administrative Officer will act as a first point of contact for student enquiries, providing general information, advice and assistance to members of the public.

The successful candidate will be expected to demonstrate a high level of accuracy and attention to detail, excellent time management and superior customer service.

KEY RESPONSIBILITIES

The major responsibilities of this role include:

1. Be the first point of contact for Student enquiries and reception duties;

2. Provide secretarial and administrative support to the Deputy Head of School and other academic staff as required;

3. Coordinate the collation and preparation of assessment material;

4. Maintain School-based student files and paperwork related to professional body requirements;

5. Liaise with various University departments in relation to student issues;

6. Arrange room bookings outside the timetable for academic and non-academic events;

7. Organise student enrolments and other information days as required (in conjunction with other School staff);

8. Coordinate outgoing and incoming mail for the School, including couriers and large parcel pick-ups as required;

9. Assist in the organisation and setup of School functions, meetings, etc. as required.

10. Formatting and Proof reading of exams and course outlines.

11. Assist in the admissions process, in particular maintaining relevant databases;

12. Maintenance of filing systems related to administrative documentation, archiving of completed exam papers etc

13. Assist the Senior Administrative Officer with Finance, Staffing and general matters as required.

14. Assist in printing and preparing the BoE report, and related memos.

15. Other duties as directed by the Senior Administrative Officer and Deputy Head of School.

SELECTION CRITERIA

Essential

1. Supportive of the Objects of Notre Dame as a Catholic University.

Qualifications & Experience

2. Completion of a Certificate III or a Certificate II with relevant work related, administrative and supervisory experience; and/or an equivalent combination of relevant experience and training.

Knowledge, Skills & Abilities

3. Excellent organisational skills with the ability to meet deadlines, set and achieve realistic goals and establish work priorities either individually or as a team member.

4. Experience in and the ability to work without supervision.

5. Ability to maintain confidentiality and to exercise initiative, tact and sound judgement.

6. High level of attention to detail.

7. Well-developed interpersonal, oral and written communication skills including the ability to work as a member of a team, liaise with other staff members and interact with a diverse range of people whilst maintaining a strong focus on high quality service.

8. Demonstrated experience and skills with Microsoft Word, Excel and Outlook, internet browsers, and web-based applications.
