An exciting opportunity is available for Executive Assistants to join a Federal Government Agency based in their CBD offices, As an Executive Assistant, you are responsible for managing the Senior Executive's diary and appointments, inbox and a broad range of other support activities, including: providing support for meetings; preparation of meeting papers; organising venues; managing travel arrangements and assisting the Senior Executive in fulfilling their responsibilities. You will liaise with a broad range of internal and external stakeholders, have the ability to anticipate the needs of the Senior Executive and demonstrate flexibility and resilience.
What kind of responsibilities will I have?
- Managing scheduling, prioritisation, coordination and allocation of work for Divisional staff as appropriate; as well as managing own workload effectively
- As a Senior EA, mentoring and supporting new and junior staff members
- Responding to enquiries and providing sound administrative advice which influences decisions by others, identifying and escalating issues to senior staff members
- Using systems, computer based applications and other tools for office administration and draft basic workplace documents e.g. emails, minutes, agendas and other correspondence.
- Contributing to and maintaining information resources e.g. procedures, processeand documents
- Coordinating the activities of a program, project, initiative or specialist task, e.g. briefing packs, business cases
- Contributing to decision making and planning within the work area, fostering and supporting the Division's goals and objectives
- Contributing to a healthy and safe working environment, modelling ethical behaviour and practices consistent with the APS Code of Conduct and APS Values
- Liaising with corporate areas to coordinate the new commencements in the Division/Group
- Managing phone lists and organisational structures

- Highly developed organisational skills and the ability to develop plans and timeframes for completion of work
- A proven track record in taking personal responsibility for meeting objectives and progressing work, including the ability to identify problems and use sound judgement to resolve them
- The ability to confidently communicate messages in a clear, concise and articulate manner, including the ability to tailor communication style and messages to suit the audience
- Proficiency in Microsoft Word, email and web-based applications
- Put clients, external and internal, at the centre of everything you do
- Highly developed communication skills, verbal and written to work effectively within internal / external stakeholders
- Highly enthusiastic and energetic individual who is both flexible and adaptable
- Ability to work effectively in a small team
- Ability to prioritise and complete tasks in a fast paced, dynamic environment
