Copenhagen Infrastructure Partners (CIP) is looking for an Office Manager to its newly established office in Melbourne


To CIPs office in Melbourne, we are looking to recruit a professional, structured and service minded Office Manager. Your main responsibility will be to help with the establishment of the new office and to organize and coordinate office administration and procedures on a day-to-day basis to ensure smooth workflows. In addition, you shall also possess an assisting role, providing secretarial and administrative services to an Executive and the expanding onsite team in Melbourne.


Further responsibilities will consist of, but are not limited to:

  • Office administrative duties 
  • Organize office operations and procedures
  • Monitor and maintain office supplies inventory 
  • Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement, layouts, and office systems
  • Management of executive calendars, including daily schedule, travel arrangements and meeting scheduling
  • PowerPoint presentations
  • Coordination of meetings, both internal and external
  • Assisting with recruitment and onboarding of new hires

The Candidate

The ideal candidate has a BSc in business administration or language and possesses three or more years of relevant work experience from a position as Office Manager, Executive Assistant or Team Assistant. It is expected that the candidate is fluent in English, has a solid knowledge of MS Office and meets the following criteria:

  • Ability to drive administrative processes and projects proactively and independently 
  • Structured, thorough and with a high attention to detail
  • Excellent time management skills and ability to multi-task and prioritize work
  • Thorough with a high attention to detail
  • Resilient, service minded and positive can-do attitude
  • Excellent interpersonal and communication skills
