This position reports to the Director of Sport and Performance and will commence in Term 2, 2021 or by negotiation.

Overview of Role

The sporting program at Wenona is a vibrant and central part of school life, characterised by high levels of student engagement and participation across the Independent Girls’ Schools’ Association (IGSA), Independent Primary School Heads of Australia (IPSHA) and community-based sporting organisations.

Wenona fosters a love of sport through a focus on developing an appreciation of team spirit, healthy and balanced lifestyles, and fair play in all sporting endeavours. It is these values that need to be central to all Sport staff and their approach to developing and nurturing skill development, a measured sense of competition and a courageous spirit of adventure in our girls.

Role Purpose

The purpose of this role is to provide high quality and efficient administration, and operational support to the Sport Department. The role will be a critical part of the team responsible for the administration of all sport programs across K-12 to enable the Sports department to consistently operate at its most effective.

The role will also be directly responsible for the overall organisation, planning, preparation and operational management of select sport programs, namely Snowsports, Sailing, Water Sports and Fencing.

There is an expectation that excellent, accurate and timely correspondence and customer service will be provided to a wide range of internal and external stakeholders.

The position also contributes to broader sport department activities, carnivals and administrative support services at the School with the maintenance of a positive internal culture where service, integrity and humour are valued.

As with all support staff positions, this role is central to the operation of the School and supports student learning. All of our support and operations staff have a firm commitment to their own professional learning. They support the values of the School and work together with the academic staff to ensure the highest educational standards.

Key Responsibilities

Indications that this role is being carried out successfully would include:

  • Coordination of all aspects of student involvement in co-curricular sport including clear and consistent communication to students, parents, coaching staff ensuring all areas of the school are aware of student involvement.
  • Effective collaboration with the Sport leadership team in regard to annual, term and weekly planning to ensure the efficient and accurate timetabling of sporting programs, which may include the logistically coordination of facilities, risk assessments, venue bookings & transportation.
  • Coordinating the active participation of students registered for allocated sports and the delivery of selection, training, competition entries, weekly and season reports, player and coach evaluations.
  • Accurate ongoing tracking and monitoring of student participation, attendance, injury management, rewards and recognition scheme, dress standards and all documentation and records are accurate and current for all sport programs.
  • Maintain and update the relevant databases, School portal pages and work with the Communications Department to ensure social media channels are current and accurate information is available.
  • Coordinate and drive the implementation of the school’s co-curricular online platform and education of common users within the sport department
  • Develop and maintain a comprehensive and central summary of all sporting fixtures and relevant details and disseminate this on a weekly basis to all coaches, coordinators and members of the School Executive.
  • In collaboration with the Sport leadership team, ensure appropriately qualified and accredited coaches are recruited, onboarded and inducted in line with Wenona protocols, helping to nurture a positive learning environment that is fun and encourages students to continue to play and learn in a variety of sports.
  • Assisting in the organisation of Sport Awards, Sport Tours and School Carnivals and independently coordinate smaller sporting events and activities, as required.
  • Recording, monitoring and tracking of inventory of all School sporting equipment, coach and student sport uniforms as required for allocated sports.
  • Develop knowledge in a range of sports to enable and support the effective coordination of different sports each term and to foster the love of sports within our student body.
  • Providing administrative and operational assistance (including relief for Reception, Junior School Office, Student Office and similar) across the School to meet functional requirements and uphold the reputation of Wenona.
  • Undertake any other duties as directed by the Director of Sport and Performance and Head of Sport.

This position is required to develop relationships with all School personnel and the wider community with deep knowledge of all School activities.

Education & Experience

  • Qualifications in Sport/Event Management/Administration/Coaching or similar.
  • Minimum of 2 years relevant experience in sport, event and/or project management/coordination; in an educational environment or similar is desirable.
  • Minimum Level 1 Coaching qualifications; desirable.
  • Valid driver’s licence and ability to travel independently between venues.
  • Current NSW Working with Children Check.

Knowledge & Skills

  • Good general sport knowledge and understanding of demands on athletes and coaches at a local community and pre-elite level.
  • Demonstrated skills within customer service and communication; oral, auditory and written.
  • Strong administration and IT skills demonstrated across MS Office, websites, online portals and database systems.
  • High level of accuracy, attention to detail and ability to manage and deliver multiple projects and competing deadlines.
  • Demonstrated skill in forming effective working relationships with a range of groups and individuals.
  • Ability to maintain a calm, professional demeanour and quality standards when faced with long hours of work and changing demands.
  • Understanding of risk management and mitigation as it relates to sport.

General Conditions of the Role

  • Award: Independent Schools NSW (Support and Operational Staff) Multi Enterprise Agreement 2017.
  • Classification: Clerical and Administrative Staff Level 3 Administrator.
  • Hours of work: Permanent, full time, Monday to Friday at an average of 38 hours per week. Some weekend and out of hours will be required and negotiated with the Director of Sport and Performance, depending on the needs of the students and the School. The School will average the employee’s wages over the year, which will be paid in equal instalments throughout the year.
  • Annual Leave: All annual leave should be taken during non-term time.
  • Professional Learning: You will be expected to attend and contribute to all staff professional development days and requirements as outlined in the School’s calendar.
  • Parking: There is no car parking provision for this role.
