The role:

We are recruiting an exciting opportunity for an Administrative Assistant to join our Investment’s team in Melbourne.

Join a team of five Administrative Assistants, to provide administrative and invoicing support to Mercer’s Investment team. An exciting opportunity for an experienced and highly motivated Administrative professional to support Senior Management and their teams with a range of day-to-day operations. Tasks include diary management, meeting and event planning, preparation of client materials and client invoicing.

What can you expect?

  • Provide day-to-day administrative support to a team of Investment professionals.
  • Work with in-house databases and systems to process travel bookings, vendor payments, client invoicing and monthly Amex reconciliations.
  • Manage regular and ad hoc reporting and prepare client presentation materials.
  • Coordinate quarterly and monthly client invoicing.
  • Assist with planning for internal and external meetings and events including room bookings, catering and appropriate documentation.
  • Liaise with other parts of the business, clients and external bodies to answer queries and provide good customer service.
  • Engage and work with internal functions, where required (e.g. Human Resources, Facilities Management, Information Technology) to assist with office management and colleague on boarding.

We will need from you:

A team player who will enjoy working with a positive, highly motivated team of professionals.

Proactivity in providing general administrative support to the team.

Demonstrated ability to meet deadlines and work well under pressure.

Exceptional organizational skills including the capacity to anticipate needs and prioritise tasks.

Preferred experience includes working with internationally connected organizations and/or financial services industry.


With Invoicing Platforms - Preferred.

Ability to identify inefficiencies and implement process improvements.

Excellent written and oral communication skills.

Flexible when occasional projects require extra resources.

Expert with Outlook and the following Microsoft packages (Advanced Word and PowerPoint, Intermediate Excel).
