About the role As the Administration Officer, your role will be to ensure that administrative and reception services are provided to residents, visitors and the staff with highest quality whilst maintaining optimal efficiency and cost effectiveness.
  • Assist with filling vacant shifts on roster and maintain rostering system ensuring accurate and timely data entry of employees to ensure smooth transition to the payroll system
  • Administrative tasks, in accordance with VMCH policy and procedure, applicable legislation, standards and guidelines.
  • Provide reception duties including meeting and greeting customers and directing them appropriately, answering telephone calls and directing enquiries as appropriate and in a timely manner
  • Manage and maintain filing system, process petty cash transactions, and collate, code and copy invoices for accounts payable processing
  • Coordinate and manage the funding submission processes
  • Order office supplies, ensuring adequate supplies of stock and equipment for the facility and administration function, in line with budgetary requirements
Skills & experience
  • Certificate III or higher in Business Administration or extensive experience in high level administration roles
  • Experience in providing high level customer service in a busy work environment.
  • Knowledge and experience in using MS Office programs, rostering and payroll systems
  • Strong organisational skills, attention to detail and ability to meet deadlines
  • Sound knowledge and understanding of the Disability Act 2006, NDIA/NDIS Victoria, The Victorian Charter of Human Rights and the Disability State Plan
  • Demonstrated awareness of current industry trends, individualised funding and service options and opportunities for people with disabilities
  • Knowledge of complex conditions that impact on people with disabilities and their carers and the capacity to keep up to date with best practice guidelines
  • Well-developed problem solving and skills with the ability to take initiative to meet customer’s needs with available resources
  • Proficient computer literacy skills including Microsoft office suite and Client Management Systems
