Our Facilities Services and Utilities business provides services across the three waters, power, gas, telecommunications, facilities management, automation, cleaning, and hospitality sectors. We provide our industry-leading services nationally to Downer and Spotless NZ customers. As we pride ourselves in being industry leaders, we strive for standardisation in how we document, manage and control our contracts. As such, we are looking for an experienced full time Document Controller to co-ordinate updates or new releases of documents with content owners across our business, including the Approval To Release (ATR) management process.

About your role:

In this pivotal role, you will be responsible for implementing information management best practice for the Facilities Services and Utilities (FS&U) business groups and contracts and supporting the operational team's access to documents. Your key responsibilities will include:

  • Represent FSU and the TSC team as the Document Controller engaging with the TDS (The Downer Standard) team and business document owners and approvers to ensure quality control of documents.
  • Coordinate communication of document releases and updates to ensure all users are informed and that any additional instructions are included in that communication.
  • Work closely with the business to coordinator and gather content for document development and targeted communications, and the editorial process for Toolbox Talks.
  • Support the FSU operational business with the adoption of the MS suite of applications to assist them in accessing critical information based on their roles and responsibilities.
  • Manage and maintain the document review process and coordinate business subject matter expert engagement to ensure developed and reviewed documentation is optimised.
  • Promote strong collaborative relationships with positive interactions to obtain the best result for Facilities Services & Utilities and the wider Downer business.

About you:

This is a varied role to deliver clear outcomes so excellent time management skills and laser sharp attention to detail are essential. Wearing different hats across different FS&U business units, each with their own business needs, you will be expected to be flexible in your work all the while ensuring business needs meet Governance requirements. You will need to be both analytical and creative, forward plan your work, ensuring all milestones are met so that the FS&U approval-to-release documentation process is optimised.
