JOB DESCRIPTION

The Australian Criminal Intelligence Commission (ACIC) is Australia's national criminal intelligence agency. We advise senior decision makers on serious and organised crime impacting Australia. We are a full member of the National Intelligence Community, a Department of Home Affairs portfolio agency, and a member of the Five Eyes Law Enforcement Group.

Business & Operational Support Officer - The APS4 SO is responsible for the development, planning and production of operational and business outputs and outcomes, as well as developing a broad range of subject matter expertise to able accurate, quality and compliant outcomes.

This includes responsibility for a range of administrative activities, information searches and basic analysis involving the appropriate management of information of a diverse nature across the business, intelligence and operational aspects of the ACIC. This includes undertaking duties and mentoring less experienced staff in undertaking work that contributes to the management of facilities, resources, assets, security, exhibits, information, finance, procurement and fleet vehicles.

The SO works closely with operational teams, taskforces, investigators, intelligence practitioners, administrative staff, managers and external partner and provider agencies to ensure that office operational outputs are supporting the ACIC.

The APS4 SO may also be expected to provide development and support to the APS3 SO positions with a view to succession planning and future opportunities.

The APS4 SO may also be expected to manage more complex tasks including but not limited to such areas as national function and project support, Executive support (as required), Disseminations functions, Stakeholder meeting secretariat role and Examinations.

A valid Australian Drivers licence and a NV2 Security clearance are required for this position.

The key duties of the position include
The principal accountabilities and responsibilities include:
• Complete a wide range of routine and non-routine tasks related to, but not limited to, procurement, stores, asset management, information requests, database searches, recordkeeping, processes, facilities, resources, assets, security, exhibits, information, finance, and fleet vehicles, and ensure legislative compliance with these.
• Undertake information searches and analysis using a range of systems to meet stakeholder requirements.
• Undertake and ensure the accuracy of the capture and collation of information and undertake steps to enable effective retrieval.
• Take responsibility to ensure the appropriate management of exhibits in the State Office, including lodgement, storage, retrieval and disposal of exhibits in accordance with legislative and agency procedures.
• Support Examinations, Disseminations, Secretariats, National Coordinators, Project Managers, and Local leadership where business and/or operational support functions can add value to intelligence and/or investigations outcomes.
• Contribute to process improvement and the development of standard operating procedures to support the team.
• Provide administrative support to enable appropriate record keeping of meetings, classified files, registers and the handling of exhibit materials.
• Liaise with internal and external stakeholders to maintain productive networks and to promote information sharing, partnerships and common understanding.
• Contribute to a collegiate approach within the team that promotes a culture of flexibility and improvement across the office.
• Ensure self and support others to adhere to processes and procedures to support the principles of the legislative, regulatory, and corporate policy and procedures as they apply in the ACIC.
• Be responsive to changes and use common sense to solve problems that may be complex yet broadly similar to previous situations, research solutions which generally can be found in documented precedents or procedures.
• Identify and support opportunities to contribute to the administrative and operational facets of the office.
