JOB DESCRIPTION

Maxima are recruiting an experienced Workshop Administration Officer with an approximate start on the 5th of May. Beginning at 7am and working through until 3pm. The pay for this role is $28.38/hr with 38 hours per week.

Duties:

  • Provide administrative support to the workshop supervisors and team leaders in the delivery of tasks associated with the maintenance of Council’s fleet maintenance
  • Provide a first point of contact for internal and external clients’ enquires
  • Provide general administration and clerical skills to assist supervisors.
  • Processing of purchase requisitions ensuring correct codification of contract reference codes and the inclusion of relevant item descriptions to ensure purchasing statistics can be easily captured, in accordance with purchasing procedures and Council’s procurement policy.
  • Provide inventory management assistance to workshop staff by ensuring the correct dispatch of inventory.
  • Input weekly workshop timesheets into Councils Fleet Management System Unifleet and entering Workshop Journals into Finance One
  • Assist with the procurement of small plant acquisitions, in accordance with legislative requirements and Council’s procurement policy
  • Assist with the preparation and inputting of monthly plant hire journals and reconcile to ensure accuracy with Councils plant hire budget and Unifleet, as required.
  • Maintain all workshops’ compliance documentation including regularly reviewing and updating chemical and SDS registers and risk assessments.
  • Attend and act as secretariat for the Workshop Toolbox talks meetings

Applicants must have:

  • Drivers Licence
  • Previous experience in the purchase of goods and services in a multi-industry organisation
  • Experience in use of an Enterprise Systems e.g. SAP, Finance One
  • Experience with MS Office suite of applications
  • Experience in an administrative role.
  • Previous experience in a Workshop environment (desirable)
  • Certificate III in Business Administration (desirable)
  • Ability to manage time, plan and organise their own work
  • Negotiation/Corrective action and follow up skills with suppliers at an elementary level
  • Basic skills in oral and written communication with clients and other members of the public
  • Developing knowledge of relevant Queensland Transport Legislation
  • Knowledge of Public Sector Procurement Procedures
