Current opportunity

We are looking to employ a dynamic and driven part time Executive Assistant to provide support to Directors across multiple service lines.

In this role, your workload will be busy and diverse, with a core focus on delivering exceptional service to key stakeholders.

What you’ll need to succeed

Provide personal, executive and operational support to the team Directors, including;

  • Ensure effective organisation of the Director’s workflow by providing complex in-tray and diary management, including responding to and/or distributing correspondence as appropriate/directed
  • Effective management of Director schedules, including scheduling of meetings and catering arrangements as requested
  • Respond to incoming telephone calls in the absence of Directors
  • Manage regular business travel arrangements (international and domestic) including research, all related bookings and itineraries
  • Monthly reconciliation of credit cards
  • Assist with client activities;
    • Preparation of client engagement letters
    • Work-In-Progress analysis
    • Billings assistance
    • Completion of client reports within tight timeframes
    • Extensive client and referrer liaison including pre-meeting briefings, arranging of appointments, gathering of financial data, preparation of correspondence and research
    • Preparation, review and formatting of tenders and proposals, adhering to tight deadlines
    • Preparation and formatting of presentations and reports
  • Minute taking at various meetings including drafting agendas and following through on action items
  • Effectively working with the Business Services and Executive Assistants / Team Assistants in the Adelaide office
  • General administration including time sheet entry, photocopying, scanning, drafting of correspondence, mail outs via mail merge, basic book keeping, expense reimbursements / reconciliations, invoicing and reporting

Experience in an Executive Assistant role is essential, preferably in professional practice.

A passionate and driven professional, you will have outstanding communication and interpersonal skills and exceptional attention to detail. You will have a strong sense of urgency and initiative, as well as proven analytical and problem solving skills. You are a highly organised planner and true team player, with the ability to build strong relationships with internal and external stakeholders at all levels.

A Certificate in Secretarial, Administration or similar will be advantageous and you will have advanced skills in MS Word and PowerPoint. Intermediate skills in MS Excel and knowledge of Adobe InDesign will be well regarded.

This position requires you to work 20 hours per week across x5 days (Monday – Friday). Potential hours being 11:30am – 4pm including 30 minute unpaid break, however some flexibility around the time of day may be available for the right candidate.
