Fire Rescue Victoria (FRV) is a modern fire and rescue service that meets the needs of twenty-first century Victoria. Established on 1 July 2020 as part of Victoria's Fire Services Reforms [https://www.vic.gov.au/fire-services-reform], FRV will serve and protect communities across Melbourne and Victoria's major regional centres from 85 FRV fire and rescue stations across the state. Its career firefighters operate 47 fire stations in metropolitan Melbourne and 38 regional stations, most of which are co-located with CFA volunteer brigades. FRV will proudly continue to work alongside the Country Fire Authority (CFA), which is a community-based volunteer fire service.

Your new role
The position of the Policy and Guidance Support Officer is to assist in the management of FRV Policy and Operational Guidance, and coordinate administrative functions within the Policy, Planning and Operational Guidance Department to ensure best practice service delivery. Key responsibilities of the role include:

  • Develop and implement administrative related process driven strategies to support the development, review and maintenance of FRV policies, procedures and guidance, and monitor the effectiveness to ensure best practice. Contribute to the establishment of internal processes and systems relevant to FRV Policy and Planning Department.
  • Establish and maintain record keeping systems, electronic document management systems and templates. including documenting and maintaining departmental practices.
  • Coordinate and participate in relevant meetings, including the preparation of documentation, agendas, minute taking and following up on actions. Manage the workflow of information and all requests within the Department.
  • Provide high level administrative expertise across the Department, where required preparing reports and briefings, responding to general enquiries and request for information, assist in continuous improvement initiatives and to undertake research to inform department level decision making and planning.
  • Assist with daily operations and follow up on activities and commitments including tasks that have been delegated to other staff and stakeholders. Coordinate the update, development and ongoing maintenance of information on the department intranet site. Attend to all requests received and determine necessary priorities, approval methods and ensure necessary follow up action is taken.

What you'll need to succeed
In order to be successful in this role you will have

  • proven experience working within a senior administrative role and
  • demonstrated competence in Microsoft Office Suite.
  • Post-secondary qualification or advanced certificate studies in an administrative field, or extensive administrative experience is highly desirable.
