The Company

Our client employs office staff to provide support services to a group of medical professionals who will contribute to the smooth and efficient functioning of the office by providing high quality reception and administrative support to patients, doctors, other staff in the office and all health professionals.

Our client is currently looking for an Office Administration Trainee to undertake all duties in a caring and supportive manner and provide an exceptional level of customer service.

The successful candidate will gain experience in office administration whilst completing a Certificate in Business Administration.

Responsibilities and duties

Extensive training and development is provided to build to completing the follow duties:

  • First point of contact for the business, providing an outstanding level of customer service on the telephone and face to face contact
  • Greet patients, record appointments and patient arrival, inform patients of delays
  • Answer telephone calls promptly and professionally
  • Ensure all in rooms invoices are completed
  • Efficient management of all patient data, appointments, procedures, clinical files, correspondence and accounts
  • Managing incoming and outgoing mail, email and faxes
  • Scheduling and effective management of patient bookings in MBS software
  • Scanning as requested
  • Receipting of payments via phone, mail or over the counter
  • Continue to offer ideas of changes to make to run the office more efficiently
  • If required, provide information to patients in regards to fees and invoicing
  • Additional duties as required
