Your World Healthcare is currently recruiting a Bookings Administrator based in Grays on a temporary basis.

Job Description

Your World Healthcare is a leading specialist healthcare recruitment agency, placing a range of healthcare professionals including Non-Clinical and Clinical positions.

Location: Home Working

Please Note: This role will be based working from home; however, you may need to go onsite in Thurrock, Essex for a couple of days training.

Temporary: Expected to last 8 weeks and potentially may be longer.

Hours per week: 37.5 hours per week

Hourly Pay Rate: £10.20 PAYE Holiday Inclusive OR £11.00 Umbrella

Key Skills Required:

  • Experienced working in a booking’s, staffing or recruitment administration role within a healthcare setting
  • Health Roster knowledge - Desirable
  • Smartcard - Desirable
  • Have a working knowledge of escalation and emergency procedures, as necessary.
  • Highly organised
  • Accurate and quick data input
  • Strong Microsoft Excel experience
  • Excellent telephone manner

General duties:

  • Use NHS Systems on a daily basis to update patient information
  • Respond to incoming calls to the department, directing them appropriately and accordingly ensuring messages are recorded accurately and passed on in a timely manner.
  • Provide a comprehensive clerical support to all professionals based in the department in line with administrative procedures.
  • Excellent communication skills are required as the post holder is required to liaise with bank staff, other booking office assistants, the Temporary Staffing Relationship
  • Record requests or cancellations from wards, departments, and bank staff.
  • Organise and co-ordinate temporary staff to provide cover throughout the Trust as requested, actively canvassing staff for availability.
  • Update wards / departments on a regular basis with names of staff booked.
  • Keep wards / departments informed at all times of any potential staffing problems and unfilled shifts.
  • Liaise with external agencies for staff availability to cover shortfalls if unable to fill with bank staff ensuring adherence to NHS Improvement agency Frameworks and price caps.
  • Ensure any breaches in NHS Improvement agency rules have the necessary authorisation in place.
  • Maintain accurate lists of staff available to work and give to ward Managers to enable them to undertake night and weekend cover.
  • Work as part of a cohesive team and undertake duties to ensure the smooth running of the office.
  • Inform the Temporary Staffing relationship Manager of any issue affecting service delivery, at the time the issue is highlighted.
  • Participate in and contribute to the evaluation of the service.
  • Contribute to the implementation, delivery and evaluation of new policies and procedures within Temporary Staffing Bureau.
  • Work co-operatively, sharing, and utilising areas of knowledge and skills to enhance service user care.
  • Support line management through undertaking additional delegated administrative tasks when required to support effective service delivery e.g entering information onto existing databases.
