About the role
We are currently looking for a proactive, organised and solution focussed Personal Assistant to work with our two Vice Presidents (VP). In this busy and hands-on role you will be responsible for providing high level, confidential and efficient support to the VP's and their teams. You will ensure the smooth running of the VP's office by performing a full range of high level administrative support functions and contributing to the success of their teams meeting their objectives. Your day to day role will be diverse and will include the following elements:

  • Working with two Vice Presidents in different locations (Canberra and Brisbane)
  • Building and maintaining relationships internally across the Airbus business as well as externally with Australian Government Departments and service providers
  • Facilitation of prompt and effective communication and information flow between the VP, and internal/external stakeholders
  • Budget management and coordination including tracking and reporting against cost centres and liaising with finance on discrepancies
  • Proactive management, creation and dissemination of briefing and presentation documents
  • Proactive management of the VP's diary
  • Travel management for both international and domestic
  • Monitoring and management of emails and correspondence, responding as directed
  • Working closely with Airbus AP Business Support network to work towards whole of company outcomes, ensuring best practice is being exercised.
About you
This role is suited to someone who is highly organised, diligent, willing to learn and is committed to achieving outcomes. You will be a solution focused thinker with the flexibility to be agile in your approach to your work and keen to take on new challenges. The skills and experience best suited to this role:

  • Minimum 3 years' experience in an Executive Support role, preferably at VP or Executive level with an understanding of office protocols in a corporate environment
  • Superior time management and organisational skills, with the ability to work under pressure and achieve deadlines in an environment of competing priorities
  • Proven ability to use initiative, maintain confidentiality and retain a positive and friendly attitude
  • Excellent attention to detail with a high level of computer literacy
