APS 4: $65,541- $73,271; APS 5: $73,725 - $82,812 (plus 15.4% super)
Locations: Canberra, Brisbane and Hobart

The Australian Bureau of Statistics (ABS) has several opportunities for highly skilled people who can demonstrate sound administration practices and/or Executive Assistant skills at the APS4 and APS5 levels. These are full time and part time positions, and this recruitment process may be used in the future to fill other Executive Assistant positions at the APS4 and APS5 levels. The ABS may also create a casual pool of EAs who are available for short-term work.

The roles are available to be filled in Canberra, Hobart, and Brisbane based on the needs of the hiring area/s and to meet the requirements of being a merit based process.

About the roles

These positions will support ABS Senior Executive Service (SES) officers including a Deputy Australian Statistician, General Managers and Program Managers. You will manage and organise their day to day operations, liaise with senior ABS staff, senior government officers and CEOs, and work closely with the other Executive Assistants and Executive Officers. You will also undertake research to prepare reports and correspondence as required.

About you

We are seeking competent, motivated and professional Executive Assistants who can manage tight and often conflicting deadlines while providing high level secretarial, personal and administrative support with limited supervision. These positions require liaison and negotiation skills, knowledge of government processes and procedures, and well-developed written and verbal communication skills. Decision making ability and attention to detail are essential.

Demonstrated skills and experience working as an Executive Assistant would be an advantage, but not essential. Responsibilities include, but are not limited to:

coordinating aspects of the SES officer’s day to day work schedule including managing their diary, telephone, and email; monitoring current and emerging priorities to ensure deadlines are met
undertaking administrative tasks such as travel arrangements, financial reconciliation of credit cards and invoice acquittal
coordinating meetings and events, including bookings, setting up, and collating and circulating papers, briefs and presentations.

At the APS5 level, you are generally required to undertake work that is moderately complex to complex in nature and operate under limited direction. You will have increased accountability for organising workflows and making independent decisions relating to your area of responsibility. For example, you may be responsible for:

broader divisional support, such as coordinating input and responses to corporate requests
supervision of lower level employees and responsibility for managing staff performance, allocating work and identifying opportunities for on-the-job training
secretariat activities
drafting papers, briefings, correspondence and presentations.
