The Role

Spotless is the lead contractor providing Estate Maintenance and Operation Services (EMOS) for the Department of Defence in Queensland and Southern New South Wales. As lead contractor within the region we deliver a suite of services to support Defence capability.

We are seeking a self-motivated, reliable Administrator to be part of the Compliance team. This position is responsible for working under limited direction to undertake subcontractor coordination and management activities. You will contribute to the work of a team consistent to policies and procedures, supporting operations with the management of subcontractors, ensuring they are compliant with legislation and with relevant Spotless processes and procedures.

This role will report to the Management, Integration and Coordination Manager and will deliver a range of services including but not limited to:

Assist with and undertake activities, ensuring compliance with legislation, procurement policies, processes and procedures.
Coordinate the provision of advice, assistance, and services as applicable to support subcontractor outcomes.
Apply knowledge to deliver required procedures and documentation including correspondence, reports, submissions,
Understand and apply legislative and mandatory policy compliance obligations including performance requirements related to subcontractor coordination.
Engage and negotiate with clients and stakeholders including team members and subject matter experts and respond to enquiries and subcontractor coordination issues.
Build and sustain productive relationships with supervisors, staff and team members and actively participate in team work and group activities.
Assess and recommend mitigation strategies for the risks associated with subcontractor coordination, performance and compliance activities
Ensure information and data relating to Subcontractors is accurate and maintained in a timely manner.

Skills and Experience

Suitability for Defence security clearance (Australian citizenship mandatory)
Contracting or Procurement qualification, or equivalent industry experience (preferred)
Minimum 3 years’ administration experience preferably in a similar environment
Excellent interpersonal relationship and communication skills
Excellent attention to detail, with sound literacy and IT skills
